My experience is that you will have problems with .pst's over 2gb.

We always avoid common values like a comma or tab. Many times they are found
in your database. Try the Tilde [ ~ ] or Pipe [ | ] as your delimiter. This
is not as tedious as previously mentioned but be sure to have the fields you
want in showing in your Column View (of Summation) and have the data sorted
prior to export. Be sure to put .TXT in your file name so it is created as a
*.TXT file.

If you are exporting to MS Word set your export setup to "Tab delimited"
and export the records. Open the document in Word and from "Edit",
"Select All" and then perform a "Text to Table" convert and select
"Separate text at Tab". It is pretty easy to then snap the text to a

We are in the process of moving from WordPerfect to Word. In the
past, we have had great success using the WordPerfect Merge option
when exporting summaries from Summation. With Word, I'm noticing that
it is not quite as easy. I've played with the different export
options in LG, but none of them seem to import cleanly using the
Word "Text to Table" option.

Has anyone else out there been successful in exporting from Summation
into Word? Is there a Word macro, Summation script or other utility I
can use to make these conversions?

Any assistance is greatly appreciated.

We have several ad campaigns going which generate calls to all our
offices. We want to keep track of the calls and within a specified
period of time based on pre-determined criteria, whether we will enter
into a firm/client relationship. Heretofore, we have simply used an
Access database to keep track of the calls and once there is to be a
firm/client relationship, moved the relevant information into our Case
Management Software.

I would like to know what other firms are doing in similar situations,
what software is being used or how you handle potential clients within
your current case management software. One suggestion has been Needles
software which appears to be more like a full case management software
which we already have. I think we might be looking for more of a
contacts database type product.

with their Concordance Database. My client has a small user group
that consist of paralegals and attorneys with a wide range of
Concordance skill levels. The database they are using consists of 3
fields, beg bates, end bates and an OCT Text field. The database
consists of letters and memorandum, so the OCR text is pretty good.

They are looking to incorporate a CPL script in to their database
that will be search window where they can enter key words or pharses
to facilitate effective searches so their less skilled users can do
effective searches on their own.

No space limitation so far, but we do purge trash every 7 days and we
only keep 180 days of mail available--if they want it they have to
archive it or print it and put it in the client or date files.

Management Software.

I would like to know what other firms are doing in similar situations,
what software is being used or how you handle potential clients within
your current case management software. One suggestion has been Needles
software which appears to be more like a full case management software
which we already have. I think we might be looking for more of a
contacts database type product.

I am looking for someone who can assist my San Francisco based client
with their Concordance Database. My client has a small user group
that consist of paralegals and attorneys with a wide range of
Concordance skill levels. The database they are using consists of 3
fields, beg bates, end bates and an OCT Text field. The database
consists of letters and memorandum, so the OCR text is pretty good.

They are looking to incorporate a CPL script in to their database
that will be search window where they can enter key words or pharses
to facilitate effective searches so their less skilled users can do
effective searches on their own.

I am working with Summation for the first time, using 5.2 (I think). Does
anyone know if I can use "contains" in the Quick Search window & if I can,
what the symbol is, i.e. "equals" is "="? Also, we are using the Case
Organizer to collect the search results but having to manually attach the
image files (we generally are searching the OCRBase). Does anyone have a
shortcut for this process? And, more importantly, does anyone have a
suggestion for printing out the attached images, other than one at a time?

We don't put any limitations at all on mailbox sizes. Although we know that
we are going to have a problem if we don't do something. We encourage our
employees to import their emails into Docs Open and/or Concordance (it has a

I'm curious as to why you would suggest that?

It seems you are just trading space in one database (mail) for space in
another (Docs/Concordance). Most mail systems have a single instance
store for each message. In other words, if you send an e-mail to 5
people, that message is only stored in the mail system once, not 5
times. If you have 2 attorneys working on a case, and each imports
their e-mail, then you're doubling the space needed for storage if they
both received the same message.

I'm assuming you get some other advantages (other than space) by doing
this. I haven't used Concordance in almost 5 years, and haven't seen
Docs since 3.2, so forgive my ignorance about their uses with e-mail.

Subject: [litsupport] Concordance Expert with CPL writing skills


I am looking for someone who can assist my San Francisco based client
with their Concordance Database. My client has a small user group
that consist of paralegals and attorneys with a wide range of
Concordance skill levels. The database they are using consists of 3
fields, beg bates, end bates and an OCT Text field. The database
consists of letters and memorandum, so the OCR text is pretty good.

They are looking to incorporate a CPL script in to their database
that will be search window where they can enter key words or pharses
to facilitate effective searches so their less skilled users can do
effective searches on their own.

recommendations.

Quick search: if you are conducting a quick search from the Case Folder just
enter the word for which you are searching. Remember prior to searching to
be certain to run the "Blaze" command if you have not yet done so. Also from
the Case Folder you must check which databases and or transcript you want to
search.

your image files should have come with an "DII" file. This file links the
images to the coded information.

you can save your search results (if needed).....but once you have your
search results you can print the linked images, I believe under "File"
"Print Summaries' Images"

I am working with Summation for the first time, using 5.2 (I think). Does
anyone know if I can use "contains" in the Quick Search window & if I can,
what the symbol is, i.e. "equals" is "="? Also, we are using the Case
Organizer to collect the search results but having to manually attach the
image files (we generally are searching the OCRBase). Does anyone have a
shortcut for this process? And, more importantly, does anyone have a
suggestion for printing out the attached images, other than one at a time?

Yes, you can use the quick search box to run connected searches in 5.21 (Go
to Help, About Summation to determine which Summation version you are
running). Go to the help menu and search for "connectors." It will give
you all the search connectors as well as links for more focused searching.

Corporate wide 20 MB box limit. Archived email is a SERIOUS issue in the
post-Enron litigation/regulatory environment. We have had to puchase and
implement a long term archive system with search and retrieval capabilities.
Firms are not in the same boat, but corporate clients should re-evaluate
retention policies immediately. Destroying/deleting email is just not an
option in certain industries right now. Hopefully, someone will actually
come down with some practical retention rules before my archive takes over
the entire server room.

2gb is the .pst file size limit re Outlook 2000. anything over that and
Outlook issues a message advising to archive or mailbox functionality is

PST files have a 2 gigabyte limit and may well crash if you reach or exceed
that limit.

There are repair tools but you have to reduce the size in order to repair
the pst and will lose some email.
