Another easy way to accomplish the "access to specific Concordance
databases" objective is through Windows shortcuts. You can create specific
shortcut folders for each case (including shortcuts to all relevant
apps/databases) and populate those folders with shortcuts that run
Concordance and open the required database. All that's required is the
concordance.exe and database name entered in the shortcut target window (and
appropriate paths of course). You can even use UNC paths so that the user
doesn't need to be mapped to the app location (just have appropriate access
rights). The case specific shortcut folders can be stored on the network
and new items added as needed to update the users. All Concordance
databases relevant to a case can reside in the folder - the user just picks
the database required.

Subject: Bates Numbers on Images
I am aware that a while back someone discussed placing Bates numbers on
images. While I am an advocate of the fundamentalist school of complex
litigation and I have always placed Bates numbers on the bottom right hand
corner of a document, have any of you placed them in other locations without
fear of excommunication (obviously a former Catholic boy)? I think that
many times it is difficult to place them on the bottom because they have a
tendency to jump off the page when copied and other strange occurrences.
Where have others placed them on a document (to be produced) and have you
been able to get away with it? Thanks

I, too, have encountered this resistance. One of the ways I have explained
the superiority of using a transcript annotation software to our legal staff
is this:
When someone digest a deposition transcript, the summary is the opinion of
the digester. In effect, the digester is creating a new kind of hearsay.
With LiveNote (or any other) annotation software, the witness's own
testimony is recorded and flagged.
Good luck!

Subject: RE: Bates Numbers on Images
It is a sin to place them anywhere else. When the paper is in folders you
can look at the numbers without pulling them out. Do you have the numbers
put on electronically... they usually add a margin so you will not lose the
number when copying.
It is only a venial sin to place them on the upper right.

NALSM (National Association of Litigation Support Managers) is a
board member group made up of the Presidents of each regional
chapter. Below is a list of chapters, current Chapter Presidents, and
regional locations. Please contact the regional Chapter President
for information regarding membership and other inquiries. Also, this
list was provided from a NALSM newsletter dated in January-2000. If
anyone has more up-to-date information regarding the regional
Chapters, please post. I believe ECALSM has a new President, however
I don't have contact information.

I understand how this protocol developed but with modern image viewers it is
a lot easier to have the stamp in the upper left corner so you can always
see it at first light. I do this only for my own documents and cave to world
opinion for others. But I question the utility of the lower right habit in
2001.

It is a sin to place them anywhere else. When the paper is in folders you
can look at the numbers without pulling them out. Do you have the numbers
put on electronically... they usually add a margin so you will not lose
the
number when copying.
It is only a venial sin to place them on the upper right.

Subject: [litsupport] Bates Numbers on Images
I am aware that a while back someone discussed placing Bates numbers on
images. While I am an advocate of the fundamentalist school of complex
litigation and I have always placed Bates numbers on the bottom right hand
corner of a document, have any of you placed them in other locations
without
fear of excommunication (obviously a former Catholic boy)? I think that
many times it is difficult to place them on the bottom because they have a
tendency to jump off the page when copied and other strange occurrences.
Where have others placed them on a document (to be produced) and have you
been able to get away with it? Thanks

Subject: Redacting of Documents
Can anyone tell me the best way to do the following:
I have an attorney who is getting 16-18 CDs of emails and other electronic
files (Word, WordPerfect, Excel, etc.). He wants to be able to put the
full-text of all of those files into some sort of searchable format, run
searches, get a hit list and then redact the words that were searched on
those documents - whether in .tiff format or native file format.
We could do this by having an EDD vendor convert all of these files and
deliver to us a database (including full-text), images and an image
cross-reference file). We would then load it into Summation, the searches
would be run and the attorney could look at the documents with hits and
redact them in Summation's image viewer and then either print them or burn
them to a CD to produce to the other side.
Or using something like dtSearch, we could create an index of each CD, run
the searches, open each document in its native format (assuming that
software is loaded on the PC), print the document and manually redact it.
Can anyone give me any better ideas for doing this?

I often use an inexpensive program called PaperMaster 98
[http://www.documagix.com/] . It has a very easy to use redaction feature
and will output to a CD. You can scan directly into it and store documents
in a virtual file cabinet. It will OCR the documents and give a word search
capability at the document level. It costs around $100 and you can download
a free trial version from the website.

Subject: Mailroom to desktop imaging
I am in the process of putting together a proposal to change our Firm's
current paper based distribution of internal workproduct to an electronic
distribution approach.
I'm interested in hearing from anyone currently imaging at the mailroom
level for in-house distributions, or perhaps at a case-workroom level for an
in-house litigation team.
If you're doing this, what kinds of hidden nightmares came up? What are you
using for hardware/software, and does your team find it helpful - or do they
end up printing out everything they receive by e-mail anyway?
Thanks,

Subject: Concordance CPL for Menu List of Databases
We are looking for an easier way for our users to access their
Concordance databases. Currently they open Concordance and then
select the Open Database option, then navigate to the database
directory. I know we can use the Administration|Added menu item
feature but that only allows one to list each database available. We
want to list each Case and then list the available databases for that
case. This way a user only needs to access their case and not have
to see a list of other non-related cases. The way to do this is
apparently through a CPL.
Has anyone created a CPL for this purpose and would you be willing to
share the code? Or if you have tried this approach do you have any
tips as to how to proceed and what to watch out for?

Espe,
I think your better off using another application - a database such as
Access, Folio, or Lotus Notes. You keep a list of databases grouped by
Matter and have a field for the path and file name. Provide a button to
execute a command line which would launch Concordance (or another
application) into the proper database. If you really want to use
Concordance, I guess you could have a database of databases and have the
CPL look up against a Cases.lst file (your cases pick list) then perform a
query of the database to get a listing of all databases for that matter and
provide them a menu item which would run another CPL to launch the
database.
I think that the other apps provide a cleaner solution though, with the
advantage that you can include other types of data as well.

Subject: RE: Concordance CPL for Menu List of Databases
Here's a simple work-around. You can build a desktop shortcut that takes
your user directly to the folder containing their database(s). At the
shortcut tab in the properties for your shortcut place the path for your
Concordance software in the Target box and place the path for your specific
matter folder in the "Start in" box. This way they don't have to surf
through possibly hundreds of matter folders on your network.

Concordance CPL for
PM Menu List of Databases
Please respond
to litsupport

Is anyone out there using TrialDirector in-house? Are you applying it to
other uses besides trial (i.e. arbitration, mediations, or just as a general
presentation tool)? Who operates the software in-house - attys, paralegals,
systems people? Is there more than one individual cross trained on how to
operate the software. Any feedback would be helpful. Thx.

Our Seattle office uses trial director, but I don't have a contact for you.
Since you are in the area you might want to call the systems dept. there and
ask for someone who might be able to give you some feedback.

We use TrialDirector in-house. We haven't used it for anything other than
trial, but I had the same idea you did. I was thinking it would help the
attorneys get comfortable using it so when it came time for trial they'd
have more confidence. We have both attorneys and paralegals who operate it
and then we offer our litigation support staff. We will train anyone who
wants to learn.
